Privacy information
How HealthSpan Lab handles information shared through the website, enquiries and assessment booking requests.
How it is used
To respond and deliver the service.
Information is used to respond to enquiries, arrange appointments, complete appropriate pre-assessment screening, deliver physiological testing and provide results or follow-up communication.
Health information
Handled with care.
Physiological and health-related information may be required before or during an assessment. This can include screening, consent, raw physiological data, assessment notes, reports and relevant clinical correspondence.
Retention
Different information, different periods.
Clinical and assessment records are retained for 8 years after the client's last assessment or contact. Incident or adverse-event documentation is retained for at least 8 years and may be kept longer where legally justified.
Booking and admin
Kept only as needed.
Routine booking information is retained only for as long as operationally required unless it forms part of the clinical or assessment record.
Marketing and statistics
Consent and anonymity matter.
Marketing information is retained until consent is withdrawn or the relevant legitimate purpose ends. Genuinely anonymised statistical data may be retained for longer periods where individuals can no longer reasonably be identified.
Processors
Google Workspace and Calendar.
HealthSpan Lab uses Google Workspace and Google Calendar for relevant business communications and appointment scheduling. Any additional processors should be confirmed before being added to this policy.
